Define what successful adoption looks like for new or revised IT Quality processes, technologies, governance models, and ways of working. Establish ownership, leadership expectations, reinforcement mechanisms, feedback approaches, and measures of success so the change becomes part of normal operations rather than ending when the implementation team moves on.

Measure & Reinforce Adoption

Establish adoption metrics and dashboards; gather stakeholder feedback; conduct post-implementation reviews; identify where adoption is falling short; and coordinate additional training, communication, process clarification, or other reinforcement activities needed to sustain the change.

Clarify Ownership & Accountability

Assess how GxP computerized systems are governed and establish clear expectations for Business/Process, Technical/IT, and Quality roles. Define accountability, decision rights, lifecycle responsibilities, and the interfaces between these groups using GAMP principles, regulatory expectations, and the organization's QMS as the foundation. The goal is not simply to create another RACI—it is to establish an ownership model that people understand and can actually operate.

Put the Ownership Model to Work

Facilitate cross-functional workshops with Business, IT, and Quality; assess current ownership practices and identify gaps or overlaps; develop role definitions, RACI models, decision matrices, lifecycle responsibilities, governance forums, and escalation paths; align responsibilities with applicable QMS procedures; and provide role-based training so each group understands what it owns, what it doesn’t, and how the roles work together throughout the system lifecycle.

Assess knowledge and capability needs across IT, Quality, system owners, and other stakeholders responsible for GxP computerized systems. Develop role-based learning strategies focused on applicable regulations, regulatory guidance, industry guidance, and QMS requirements—and translate those expectations into practical, risk-based IT Quality practices.

TACTICAL

Make the Requirements Practical

Develop and deliver targeted training, workshops, job aids, and practical learning materials covering topics such as CSV/CSA, Data Integrity, computerized system lifecycle controls, Part 11, Annex 11, GAMP 5, and applicable IT QMS processes. Use real-world scenarios and facilitated discussion to help teams understand not only what the requirements say, but how they apply to their day-to-day responsibilities.
